With the festive season just around the corner and many of you preparing for some well-deserved holiday breaks, it’s essential to ensure timesheets are completed accurately to avoid any pay discrepancies.
We’d like to remind you of the correct way for your employees to fill out their timesheets in the Xero Me App during this period. As you review these timesheets, double-checking for accuracy is crucial to prevent any costly reprocessing of payroll due to overpayments or underpayments.
Let’s make sure everything runs smoothly, so you can enjoy your holidays stress-free!
The Xero Me app is a convenient way to manage timesheets, including accounting for public holidays. Here’s how to correctly fill in the timesheet using the Xero Me app when a public holiday falls within the pay period.
- Open the Xero Me App
- Download the Xero Me app on your smartphone, if you haven’t already.
- Log in using your work credentials.
- Navigate to the Timesheets Section
- Once logged in, tap on the Timesheets option on the main dashboard.
- Select the timesheet for the current pay period, where the public holiday is scheduled.
- Record Your Public Holiday HourIf You Did Not Work on the Public Holiday:
- On the date of the public holiday, tap the hours section.
- From the dropdown menu, select the option labelled Public Holiday (or equivalent).
- The system will automatically recognise this as a paid holiday, so you don’t need to enter hours manually—Xero will account for it as a paid leave day.
If You Worked on the Public Holiday:
- If you worked on a public holiday, tap the date of the holiday.
- Enter the hours you worked under Ordinary Hours.
- Then, tap on the + Add another line option for that same date.
- Choose Public Holiday Worked from the dropdown.
- This will ensure you’re compensated at the correct public holiday rate in addition to the regular work hours.
- Enter Regular Hours for Other Days
- For any other days within the pay period, enter your regular working hours as you normally would.
- If you’ve taken other types of leave (such as annual leave or sick leave), use the appropriate options from the dropdown menu.
- Review and Submit
- Once you’ve filled in all the dates, review the timesheet to ensure the public holiday is correctly recorded.
- Double-check the holiday is either listed as a Public Holiday (if you didn’t work) or a Public Holiday Worked (if you did work).
- Tap Submit to send the timesheet for approval.
Key Tips to Remember
- Public Holiday Pay: If you did not work, the app will handle the holiday pay automatically. If you worked on a Public holiday, enter your hours correctly and choose the Public Holiday Worked option to receive the correct pay rate.
- Accuracy Matters: Filling in the timesheet correctly ensures that the payroll is processed without delays or errors.
- Ask for Help: If unsure of any part of the process, contact your HR or payroll team for assistance.
By following these steps, you’ll be able to quickly and accurately fill out your timesheet in the Xero Me app when there’s a public holiday.
