The Queensland Air Museum (QAM) in Caloundra is a volunteer organisation with a proud history. The Museum is run entirely by volunteers, driven by a commitment embodied in the organisation vision statement to preserve Australia’s Aviation Heritage. An impressive range of historically significant aircraft are housed at the Museum, which have been lovingly prepared for presentation to the public by QAM volunteers for 45 years.
Our partnership with KBAS Bookkeeping has been very effective in helping us build on our history but also develop new ways of working. KBAS Bookkeeping has recently modernised some of our processes and also worked with us to ensure we are across available government grants and other initiatives we can be part of. The Museum is the largest and most diverse aviation museum anywhere in Australia. KBAS Bookkeeping attends our site regularly, which adds an extra dimension to the service they provide. They are keen to help wherever they can, and being on site means they get an even better feel for our business. It’s great to work with Karen and her team.

We have been working with Queensland Air Museum since 2019, taking over their bookkeeping and compliance work from their in house treasurer. Prior to teaming up with us, they were using MYOB, and we converted them to Xero to allow for better integrations moving forward and a more cost-effective solution. We work with the volunteer team both onsite at the Museum and from our office. Since we started with the Museum, we have used electronic data capturing software to receive the receipts and invoices for the many teams of volunteers to keep the information flowing. We make payments batches weekly to ensure that their suppliers are paid on time. The benefit of being regular visitors on site allow us to build relationships with the volunteers and see first hand issues that arise. We identified the need to upgrade the front of house software and decided on Square through consultation with the board. The implementation has been a success, and the software has increased the reporting visibility and integrates well with Xero.
The Museum has won many awards and in 2019 took out the Qld Tourism Award for Outstanding Contribution by a Volunteer group. We have loved our opportunity to work with the Queensland Air Museum volunteers. We will continue to seek improvements in processes and systems to continue to make things easier for the volunteers.
